  • Understanding your 2019 Total Compensation Letter

    As we close another calendar year, employees will be receiving their annual W-2 statements showing their taxable income for the applicable year. In addition to this form, the district also provides permanent staff with a Total Compensation Letter to be mailed between February 3 and February 7, 2020. The Total Compensation Letter provides each permanent employee with a complete overview of their total compensation at OVSD for the tax year, including salary and benefits.

  • When to expect your 2019 W-2

    The 2019 W-2s will be available beginning January 15, 2020 on the Employee Information System (EIS). Between January 13 and January 17, 2020 they will be mailed by the Orange County Department of Education or OCDE to your address on file as of December 13, 2019.

    If you believe that your W-2 may have been lost in the mail, please note that you can print out the tax document from EIS starting January 15, 2020. If you don't see an applicable W-2 online by the date mentioned and you worked in the applicable calendar year, please note that W-2s are created based on when your money is earned or in hand and not the date when you worked. For example, if you turned in a late timesheet after the December 10 payroll closed or your first day worked was after December 15, then your wages will be paid on January 10 and would therefore be considered as earned in following tax year.

  • Address Changes for 2019 Tax Documents

    If you have recently moved to a new address, please submit your completed Change of Address Form to Personnel (Classified Staff) or Human Resources (Certificated Staff) by December 11, 2019 so that your 2019 W-2 and 1095-C (ACA) forms are issued with your most up-to-date information and mailed accordingly.

    An incorrect address could lead to delays or even the postal service returning your tax forms back to the district.

  • Governor Newsom Officially Signs AB 5 Into Law

    On Wednesday, September 18, 2019, Governor Gavin Newsom signed AB 5 into law which puts into place a three-part (ABC) test in order to be lawfully classified as an independent contractor.

  • IRS Launches New Tax Withholding Estimator

    The Internal Revenue Service launched the new Tax Withholding Estimator on August 6, 2019, an expanded, mobile-friendly online tool designed to make it easier for everyone to have the right amount of tax withheld during the year.

    With only a few more payrolls in the 2019 tax year, it's a great time to review your potential tax liability against your tax withholding. We recommend using the IRS resources available online or seeking the advice of a tax professional.

  • A Note on Sick & Vacation Balances & Accruals for the New Year

    If you have been on the Employee Information System or EIS recently, you may have noticed that your Sick and, if applicable, Vacation balance is currently set to zero. DON'T PANIC. Payroll has yet to roll over the year-end balances from one fiscal year to the next due to the fact that the August 10 paycheck will cover the timesheet period from June 15 through July 16 for 12-month Classified staff.

    The roll balance process can only occur once and covers both Certificated and Classified Payrolls, so there is no way to roll them separately. If you would like to view your balances that have yet to be rolled over please log into EIS and go to Balance Detail under the Balances tab on the top navigation bar. Then simple select the prior fiscal year from the dropdown.

    Accruals for the new fiscal year may take additional time to process and audit. However, we always retroactively set the accruals to post on the applicable first day of the calendar month for each employee group. 12-month employees will have their accruals retroactively posted on July 1, 11-month employees on August 1 and 10-month employees on September 1.
